Legal Disclosure & Refund Policy

Keystone Immigration Clerical Services LLC is a private, professional administrative document preparation and clerical transcription service.

1. Non-Attorney Status: Keystone Immigration Clerical Services LLC, its staff, and its digital platforms are not attorneys, are not a law firm, and are not affiliated with or endorsed by U.S. Citizenship and Immigration Services (USCIS), the Department of Homeland Security (DHS), or any government agency domestic or foreign. We are not licensed to practice law in the Commonwealth of Pennsylvania or any other jurisdiction, and we cannot provide legal advice, legal opinions, legal representation, or legal strategies for your specific immigration case situation.

2. Scope of Service: Our administrative services are strictly limited to technical transcription, data-mapping, typing, literal translation, and clerical formatting of biographical information provided directly by the client onto official government form applications and questionnaires. The client retains absolute sole responsibility for selecting the specific form track, package, or pathway they wish to pursue. If you require legal analysis, eligibility determinations, or legal representation before an immigration court or government officer, you must consult with a licensed immigration attorney or an organization accredited by the Department of Justice (DOJ).

3. Flat-Fee & Refund Policy: All services are rendered on a strict, upfront flat-fee contractual basis. Due to the immediate allocation of secure digital server space, encrypted database partitioning, and administrative file configuration protocols, all fees collected are considered fully earned upon receipt. Keystone Immigration Clerical Services LLC enforces a strict no-refund and no-cancellation policy once a secure ImmiKnow system intake link has been deployed to the client’s provided email or phone line.

4. Government Processing Delays & Timeline Disclaimers:
Keystone Immigration Clerical Services LLC operates strictly as an administrative document preparation service. We possess zero authority or influence over the internal operations, scheduling queues, backlogs, or adjudication speeds of U.S. Citizenship and Immigration Services (USCIS), the National Visa Center (NVC), or U.S. Embassies and Consulates abroad or any government agency domestic or foreign and any non-government agency domestic or foreign.

The client explicitly acknowledges and agrees to the following operational parameters:

  • No Timeline Guarantees: All processing times, background check queues, and interview wait times published by government entities are volatile, fluid estimates and do not constitute a contractual timeline guarantee by our firm.
  • Independent Agency Delays: Keystone Immigration Clerical Services LLC is not responsible, nor legally or financially liable, for application backlogs, biometric scheduling delays, document request issuance (RFE), administrative processing under Section 212(f), or consulate interview scheduling constraints at any government institution or diplomatic post abroad.
  • Separation of Fees: Any delays, wait times, or procedural changes implemented by the USCIS, NVC, or overseas Consulates do not alter, pause, or void the client’s upfront flat-fee contractual obligations to Keystone Immigration Clerical Services LLC, and do not constitute grounds for a transaction refund or credit card chargeback dispute.

5. Separation of Government Filing Fees & Personal Client Expenses:
All pricing structures and flat-fee rates charged by Keystone Immigration Clerical Services LLC represent strictly administrative document preparation and clerical transcription services.

  • Filing Fees Excluded: Our service fees do not include, bundle, or cover any official filing fees, biometric fees, or premium processing fees mandated by U.S. Citizenship and Immigration Services (USCIS), the Department of State, the National Visa Center (NVC), or U.S. Embassies and Consulates abroad.
  • Personal Expenses Excluded: The client retains sole and absolute financial responsibility for paying all required government application fees independently, as well as any and all additional personal expenses of any kind incurred during their immigration journey. This includes, but is not limited to, the costs of mandatory civil documents, certified translations, passport photographs, mandatory USCIS medical examinations (Form I-693), civil registry tracking, postage/courier fees, travel, lodging, or any other incidental expenses. Keystone Immigration Clerical Services LLC will never collect, process, or hold government filing fees or personal expense reimbursements on behalf of a client.

6. Liability Disclaimer for Lost or Misplaced Government Documents:
Keystone Immigration Clerical Services LLC enforces strict internal encryption and digital record-keeping protocols to securely transmit data straight into your private client archive vault. However, our firm exercises zero custody or control over physical mail distribution networks, homeland security mailrooms, or consulate filing systems.

  • Agency Mishandling: In the event that the USCIS, NVC, or any U.S. Embassy or Consulate abroad loses, misplaces, damages, or deletes any application packets, civil birth records, passport photos, or supporting evidence documents after submission, Keystone Immigration Clerical Services LLC shall not be held liable or legally responsible for the agency’s operational errors.
  • File Reconstruction: If an application packet must be compiled, reprinted, or re-formatted due to a documented loss or misplacement by a government agency domestic or foreign and or non-government agencies domestic or foreign, the client may be subject to a secondary administrative re-assembly fee to cover operational transcription overhead.

7. Data Privacy, Encryption, & Document Security Protocol:
Keystone Immigration Clerical Services LLC enforces rigorous digital security standards to safeguard the highly personal biographical data and vital identification records entrusted to our firm.

The client explicitly acknowledges and agrees to the following data handling parameters:

  • Real-Time Encryption Transfer: All data entries, smartphone, tablet, computer or any and all other devices of any kind questionnaire responses, and document photos uploaded via our intake portal are encrypted in real-time using secure socket layer architectures.
  • Zero Shared-Server Exposure: To eliminate the risk of online identity theft and database leaks, your sensitive files are never permanently stored, exposed, or cached on public third-party software cloud servers. All completed intake files are transmitted directly into our private, encrypted corporate archive vault.
  • Client Device Responsibility: The client maintains absolute responsibility for securing the smartphone, computer, any and all network connections of any kind or any and all other devices of any kind used to complete their questionnaire. Keystone Immigration Clerical Services LLC is not liable for data exposures resulting from compromised client devices, shared local web browsers, or unencrypted personal email inboxes.

8. Policy Regarding Government Requests for Evidence (RFE):
A Request for Evidence (RFE) is a standard, routine administrative request issued at the sole discretion of U.S. Citizenship and Immigration Services (USCIS), the National Visa Center (NVC), or consular officers to update or clarify a case file.

  • No Assumption of Clerical Error: The issuance of an RFE by a government agency is an independent regulatory action and does not imply, prove, or constitute a clerical error, mistake, or formatting omission by Keystone Immigration Clerical Services LLC.
  • Complimentary RFE Administrative Support: If a client receives an RFE relating strictly to the forms or documents formatted by our firm, Keystone Immigration Clerical Services LLC will provide exactly one (1) round of complimentary clerical data-mapping and document assembly to help the client compile their response packet.
  • Exclusion of Legal Strategy: Our RFE support is strictly administrative. We cannot review the RFE to provide legal opinions, suggest evidentiary strategies, or draft legal cover letters. If an RFE requires legal analysis or involves a complex eligibility issue, the client is strongly advised to consult with a licensed immigration attorney.
  • Refund Restrictions: The issuance of an RFE by any government authority does not alter, pause, or void the client’s upfront flat-fee contractual obligations and shall not constitute grounds for a transaction refund or credit card chargeback dispute.

9. Final Adjudication, Government Decisions, & Client Document Alterations:
The client explicitly acknowledges that Keystone Immigration Clerical Services LLC exercises zero authority, influence, or custody over the final decisions made on immigration cases.

  • Sole Government Authority: The absolute final decision to approve, deny, administratively close, delay, or request review of any application, visa, or petition rests solely and exclusively with the authorized reviewing government agency, whether domestic or foreign, including but not limited to the USCIS, the National Visa Center (NVC), and U.S. Embassies and Consulates abroad.
  • Absolute Prohibition on Client Alterations: All document packages, form mappings, and data transcriptions delivered by Keystone Immigration Clerical Services LLC are finalized according to strict clerical standards based on the client’s verified data entries. If, upon receiving a completed package from our business, the client alters, modifies, edits, tampers with, or overrides that package by any and all methods prior to submitting it to the respective agency, Keystone Immigration Clerical Services LLC shall be held completely free of any and all civil, legal, or financial liability. Any adverse case actions, rejections, or RFEs resulting from user-altered submissions are the sole consequence of the client, will void all complimentary support windows, and will not constitute grounds for a transaction refund.
  • No Outcome Guarantees: Keystone Immigration Clerical Services LLC provides strictly clerical data-mapping and typographical formatting; we provide no guarantees, warranties, or predictions regarding the ultimate outcome or final decision of any case. A government denial, rejection, or unfavorable final decision shall not imply clerical error or omission by our firm, and does not alter, pause, or void the client’s upfront flat-fee contractual obligations, nor constitute grounds for a transaction refund.

10. Client Failure to Respond to Requests or Appear at Appointments:
The client maintains a strict contractual obligation to actively monitor, track, and respond to all communications regarding their case.

  • Failure to Respond: Keystone Immigration Clerical Services LLC shall not be held liable or legally responsible for any adverse case actions, structural rejections, or automatic abandonments resulting from the client’s failure to respond to any and all government agency requests (domestic or foreign) in a timely manner.
  • Failure to Appear: Our firm is completely free of any liability regarding a client’s failure to appear in person, in a timely manner, to any and all appointments of all kinds—including biometric fingerprinting, interview sessions, medical exams, or case reviews—mandated by any government agency (domestic or foreign) or any non-government agency (domestic or foreign). Client failure to meet deadlines or appear at appointments does not constitute grounds for a service fee refund.

11. Client Failure to Submit Packages, Lost, or Damaged Documents:
Upon delivery of any and all completed packages, forms, data-maps, or transcribed documents from Keystone Immigration Clerical Services LLC to the client, the custody and execution of those files rest entirely with the client.

  • Failure to Submit: Keystone Immigration Clerical Services LLC is not responsible for any case denials, expirations, or processing breaks caused by the client’s failure to physically or electronically submit their completed packages or documents to the responsible agency in a timely manner.
  • Lost, Misplaced, or Damaged Files: The client assumes full responsibility for the physical and digital safety of their delivered documents. If, upon receipt of receiving any and all completed packages or documents, the client loses them, misplaces them, damages them or alters them, Keystone Immigration Clerical Services LLC shall not be held legally or financially liable. Any administrative reconstruction, reprinting, re-formatting, updating, correcting, altering or falsifying of a package requested due to client loss or damage will be subject to a secondary administrative file re-assembly fee to cover operational transcription overhead.

12. Agency Transfers, Communication Breakdowns, and Inter-Agency Transit Failures:
The client explicitly acknowledges that Keystone Immigration Clerical Services LLC possesses zero operational insight, physical custody, or administrative control over the digital networks, physical mail routes, data processing hubs, or communication channels utilized by government and non-government entities.

  • Inter-Agency Transit and File Corruption: In the event that a client’s case files, applications, biometric records, or any and all correspondence are transferred between agencies (whether electronically, physically, or via any other medium) and during transit get lost, damaged, destroyed, corrupted, altered, falsified, deleted, or otherwise compromised, Keystone Immigration Clerical Services LLC shall be held completely free of any and all civil, financial, or legal liability.
  • Administrative File Reconstruction: If a case file must be corrected, updated, reformatted, reprinted, recopied, resubmitted, reused, or resent due to an inter-agency transit failure, data corruption, or agency loss, the client assumes absolute responsibility for providing clean baseline records. Any clerical re-assembly requested from our firm will be treated as a brand-new service request and subject to a secondary administrative overhead fee.
  • Agency Miscommunication and Misunderstanding: Keystone Immigration Clerical Services LLC is completely insulated from any liability regarding operational miscommunication, logistical misunderstandings, conflicting procedural instructions, or clerical errors occurring internally within or between any and all agencies of all kinds (domestic or foreign) regarding a client’s case file.

13. Client-to-Agency Communications, Lost Correspondence, and Forced Financial Duplication:
The contractual relationship between the client and Keystone Immigration Clerical Services LLC covers strictly upfront document preparation. The client retains absolute personal responsibility for managing all ongoing correspondence with reviewing bodies.

  • Client-to-Agency Communication Loops: Our firm is not responsible for any miscommunication, technical misunderstandings, linguistic barriers, or administrative disputes (whether electronic, physical, or of any kind) occurring directly between the client and any and all reviewing agencies of all kinds.
  • Correspondence Lost in Transit: Any and all physical or electronic correspondence dispatched between the client and any reviewing agency that gets lost, damaged, destroyed, corrupted, altered, falsified, deleted, or otherwise compromised while in transit remains the sole consequence of the client and the respective transit or postal network.
  • Submissions by the Client: The exact same strict liability limitations apply when the client physically mails or electronically submits any and all completed packages or documents generated by our business to the responsible reviewing agency. Any loss, interception, damage, or destruction of files during client-initiated transmission is the sole responsibility of the client.
  • Repayment of Fees and Compounded Expenses: Under no circumstances shall Keystone Immigration Clerical Services LLC be held financially or legally liable if a client is forced to resubmit any and all documents to any agency, repay official application or processing fees to any and all agencies of all kinds, or repay personal and additional expenses of any kind (including medical re-exams, duplicate postage, legal consults, travel, or lodging) during their immigration journey due to transit losses, agency errors, or communication failures. All upfront clerical fees paid to our firm remain 100% earned and completely non-refundable.

14. Absolute Prohibition on Direct Agency Submissions & Inter-Agency Communication:
Keystone Immigration Clerical Services LLC operates strictly as an administrative data-mapping and document assembly service. Under no circumstances will our firm, its staff, or its digital platforms physically mail, courier, or electronically submit any completed applications, petitions, forms, or Requests for Evidence (RFE) responses directly to any government or reviewing agency, foreign or domestic.

  • Zero Agency Contact Mandate: To ensure absolute compliance with non-attorney regulatory guidelines, Keystone Immigration Clerical Services LLC will not, and never will, initiate contact or correspond by any method (including phone, email, fax, or physical mail) with any and all government and non-government agencies (domestic or foreign) regarding a client’s immigration track. We do not act as client representatives, agents, or liaisons.
  • Client’s Sole Responsibility to File: The physical mailing, posting, courier tracking, electronic uploading, and final submission of all completed packets and fees to the responsible reviewing agency remain the sole, absolute, and non-delegable responsibility of the client.
  • Regulatory Compliance Shield: Any request by a client for Keystone Immigration Clerical Services LLC to contact an agency or act as the direct transmitting sender will be automatically denied and shall not constitute grounds for a transaction refund or contract cancellation.

15. Limitation of Liability, Clerical Omissions, & Delivery Transit Failures:
Keystone Immigration Clerical Services LLC operates under a strict, commercially defined cap on legal and financial liability for all administrative services rendered.

  • Typographical Errors and Omissions: While our firm enforces strict data-mapping protocols, the final responsibility for reviewing and verifying the absolute truth, accuracy, and completeness of all application data fields rests solely with the client prior to agency submission. In the event that Keystone Immigration Clerical Services LLC fails to include a required document, omits critical data, or inputs missing or incorrect information into a prepared document, our firm’s sole liability shall be strictly limited to providing a complimentary administrative correction, re-mapping, or reprinting of the affected form within a reasonable timeframe.
  • Processing and Delivery Delays: If Keystone Immigration Clerical Services LLC fails to complete or deliver an administrative document package to the client within an agreed-upon or estimated timeframe due to high-volume clerical backlogs, system maintenance, or home-office operational interruptions, such delay does not constitute a breach of contract and shall not give rise to any claims for consequential damages, lost wages, travel costs, or legal penalties.
  • Delivery Transit Failures to Client: Upon delivery of any completed packages, forms, or data-maps directly to the client from our business, if those files get lost, damaged, destroyed, or deleted while in transit (whether electronically via email, physically via postal courier, or through any other medium), Keystone Immigration Clerical Services LLC shall not be held liable for the transmission failure. Our sole obligation will be to securely re-transmit a duplicate digital copy of the completed package file straight into your private client archive vault at no additional cost.
  • Operational Miscommunication and Misunderstanding: Keystone Immigration Clerical Services LLC is completely insulated from any liability regarding verbal, physical, or electronic miscommunications or technical misunderstandings occurring between our clerical staff and the client. The written text fields submitted by the client via their bilingual smartphone intake portal constitute the sole, absolute source of true data utilized by our transcribers.
  • Absolute Financial Liability Cap: Under no circumstances—including claims of business negligence, clerical error, delivery failure, or omitted data—shall Keystone Immigration Clerical Services LLC, its managers, or its staff be legally or financially liable to the client for any indirect, special, incidental, punitive, or consequential damages of any kind. The absolute maximum aggregate financial liability of our firm to any client for any and all claims shall never exceed the exact total flat-fee dollar amount paid by that specific client for the individual service package in question.

16. Cybersecurity Safe Harbor, Data Breach, & Third-Party Leak Disclaimers:
Keystone Immigration Clerical Services LLC implements commercial-grade secure socket layer (SSL) encryption architectures and private, encrypted corporate archive vaults to safeguard all highly personal and confidential client information. However, the client explicitly acknowledges that no method of electronic transmission or digital storage is entirely risk-free.

  • Malicious Third-Party Actions: In the event that a highly personal and confidential client data file, biographical timeline, or identification document is leaked to third parties, intercepted in real-time, or exposed due to a malicious network hack, server intrusion, malware deployment, or criminal cybersecurity breach targeting our platforms, Keystone Immigration Clerical Services LLC shall be held completely free of civil or legal liability, provided the firm maintained its standard encryption software updates.
  • Force Majeure and Zero System Warranties: Our firm provides no express or implied warranties that client data will remain permanently free from accidental deletion, digital corruption, or unauthorized third-party access.
  • Compounded Liability Restrictions: The absolute financial liability cap defined in Section 15 of this agreement applies completely to any and all data breaches or security leaks. Under no circumstances shall Keystone Immigration Clerical Services LLC be financially responsible for identity theft mitigation costs, credit monitoring fees, or legal damages arising from a digital security breach.

17. Client Security Guarantee & Information Safety Compliance:
Keystone Immigration Clerical Services LLC enforces an ironclad data minimization and high-security handling mandate for any and all client case files, identification materials, and supporting documentation. To guarantee to our clients that our operational infrastructure is entirely safe, the firm strictly complies with the following structural rules:

  • Prohibition on Unsecured Storage: Under no circumstances will Keystone Immigration Clerical Services LLC store, host, download, or maintain client vital records, Social Security numbers, or biographical data on loose local hard drives, portable USB media, or public third-party shared consumer cloud storage drives (such as unencrypted Google Drive or Dropbox folders).
  • Prohibition on Open Message Delivery: Our clerical transcribers are strictly prohibited from requesting, accepting, or transmitting sensitive client records—including passports, birth certificates, and marriage certificates—via open, unencrypted communication channels like WhatsApp, standard SMS text messaging, or unsecure email networks. All document assembly must pass exclusively through our private, real-time encrypted portal interface.
  • Immediate Vaulting Architecture: The exact millisecond your smartphone, tablet, computer or any other device of any kind questionnaire and document uploads are finalized, the system compresses your case packet and routes it via secure socket layer (SSL) data lines straight into our private, closed corporate archive vault. This guarantees that your sensitive personal information is shielded from open web databases, preventing online identity threats and maintaining absolute data safety throughout your clerical journey.

18. Zero-Tolerance Policy for Workplace Misconduct, Harassment, & Personal Threats:
Keystone Immigration Clerical Services LLC enforces a zero-tolerance policy regarding client misconduct, harassment, or hostile behavior against our business, staff, or associated individuals.

  • Hostile Extensions and Personal Targets: If any client utilizes vulgar language, profanity, insults, intimidation, extortion, cyber-harassment, or issues threats of any kind (by any method, physical or electronic) targeting me, my business, my staff, or extending to family members, relatives, friends, or any other individuals associated with our business, such actions constitute a criminal breach and an immediate material default of this contract.
  • Protection of Personal Assets: This strict protection clause applies equally to threats directed at personal assets, business assets, physical home-office real estate, vehicles, or private property owned by our firm, its managers, or its staff.
  • Immediate Termination & Asset Protection Actions: In the event of a breach under this section, Keystone Immigration Clerical Services LLC will immediately and permanently lock the client’s account, terminate all services, and void all processing files without notice. All upfront fees are completely non-refundable and fully forfeited. Furthermore, our firm will instantly file a formal criminal report with local law enforcement, federal authorities, and provide certified tracking logs to assist in prosecuting extortion or harassment to the absolute fullest extent of the law.

19. Scope of Communication & Restrictions on Client Emotional Misconduct:
Keystone Immigration Clerical Services LLC recognizes that navigating the immigration tracking framework can be an inherently stressful, anxious, and frustrating experience for families. However, our firm operates strictly as an objective administrative document processing office, and we do not provide emotional counseling, personal crisis management, or round-the-clock text/call correspondence.

  • Emotional Misconduct Defined: If any client becomes excessively angry, highly combative, verbally hostile, irrational, or displays obsessive, harassing communication behaviors (including inundating our business communication lines with repetitive, high-frequency, or abusive calls, text messages, or emails due to personal frustrations, external agency delays, or personal stress), such behavior will be classified as emotional misconduct and a material breach of professional boundaries.
  • Account Freezing & Contract Voiding: Keystone Immigration Clerical Services LLC maintains a zero-tolerance policy for administrative disruption. In the event of client emotional misconduct, obsessive harassment, or hostile outbursts directed at our business or staff for any reason, the firm reserves the absolute right to instantly freeze the client’s active intake account, terminate the service contract, and void all processing files.
  • Total Forfeiture of Fees: Upon contract termination due to client outbursts, obsession, or emotional harassment, all fees collected are non-refundable and fully forfeited to cover company operational overhead.

20. Absolute Mandate for Client Truthfulness, False Information, & Fraud Indemnification:
Keystone Immigration Clerical Services LLC operates strictly and exclusively as a third-party administrative transcription and data-mapping provider. Our firm performs zero independent background checks, civil registry verifications, or forensic document audits on the data files uploaded by users.

  • Client Warranty of Absolute Truthfulness: The client provides an ironclad contractual warranty that any and all biographical data, timelines, responses, identity declarations, and document photos uploaded into their questionnaire portal are 100% true, accurate, valid, and legally authentic.
  • Zero Liability for Fraudulent Data: In the event that a client is dishonest, misrepresents facts, commits perjury, provides false personal information, or uploads any and all forged, altered, or falsified documents into their account, Keystone Immigration Clerical Services LLC shall be held completely free of any and all civil, criminal, financial, or legal liability. If our business unknowingly prepares a package utilizing false data or fraudulent documents provided directly by the client, the client assumes absolute, sole personal responsibility for the entire submission.
  • Immediate Legal Cooperation & Indemnification: The client agrees to fully indemnify, defend, and hold completely harmless Keystone Immigration Clerical Services LLC, its managers, and its staff from any legal penalties, federal investigations, or fraud accusations arising from the client’s dishonest submissions. Keystone Immigration Clerical Services LLC maintains a policy of absolute cooperation with federal authorities and will immediately hand over certified system IP address trackers and baseline client data logs to law enforcement if subpoenaed regarding client fraud.
  • Immediate Contract Voiding: Discovery of any intentionally false or fraudulent data submissions will result in the immediate termination of all services, permanent locking of the client’s account, and total forfeiture of all upfront fees with zero refund.

21. Protocols Governing Inbound Agency Communications:
In the event that Keystone Immigration Clerical Services LLC is contacted directly by any and all government or non-government agencies (domestic or foreign) regarding a client’s past, present, or pending application files, the firm enforces strict handling parameters to protect corporate boundaries and maintain absolute legal compliance.

  • Refusal to Represent or Advocate: If contacted by an agency official, officer, or clerk, Keystone Immigration Clerical Services LLC will strictly refuse to provide case status updates, legal arguments, application clarifications, or advocate on behalf of the client. The agency will be explicitly informed that our firm operates solely as a clerical typing provider and possesses no authorization to discuss client details.
  • Absolute Compliance with Valid Subpoenas: If a domestic or foreign government agency contacts our firm via an official court order, federal subpoena, or lawful investigatory mandate regarding a client case (such as an active immigration fraud investigation), Keystone Immigration Clerical Services LLC will fully and immediately comply with the law. We reserve the absolute right to deliver encrypted system logs, data sheets, and IP address records to authorized investigators to protect our corporate entity from liability.

22. Prohibition on Digital Tampering, Account Alterations, & Communication Forgery:
Keystone Immigration Clerical Services LLC relies strictly on verified server-side security logs to track data entries, transaction timelines, and sent communications.

  • Account and Portal Tampering: If any client attempts to alter, modify, inject code, override, or tamper by any method with their digital intake account, smartphone questionnaire interface, or secure file upload directories, such action will be treated as an immediate fraudulent breach of contract.
  • Forgery of Communications: Our firm enforces a zero-tolerance policy against the alteration or forgery of communications. If a client alters, modifies, doctor-edits, or falsifies by any method any emails, text messages, receipts, or other communications received from, or sent to, Keystone Immigration Clerical Services LLC to misrepresent facts or claim clerical errors, the firm will rely exclusively on its own unalterable master cloud server databases to establish the true record.
  • Immediate Termination & Total Fee Forfeiture: Any evidence of account tampering, system manipulation, or communication forgery will result in the immediate and permanent termination of all services, freezing of the offender’s account, and complete forfeiture of all upfront flat-fees with zero refund. We reserve the right to submit all server logs to financial arbitration desks and law enforcement authorities to prosecute transaction fraud.

23. Cyberattacks, Website Hacking, and Master System Alterations:
Keystone Immigration Clerical Services LLC operates on a closed, monitored server framework with active security logging.

  • Website Hacking and Infrastructure Tampering: If a client, or any individual acting on their behalf, tries to hack, bypass security firewalls, run malicious code scripts, gain unauthorized entry to our master business admin dashboard, or alter by any method anything on the public website (keystoneclerical.com), our databases, or our private archive vaults, such action constitutes a criminal offense under federal and state cybersecurity laws.
  • Immediate Prosecution and Revocation: Any attempt to manipulate our web infrastructure will result in the immediate and permanent locking of the client’s intake account, complete forfeiture of all fees, and the instant submission of all server log IP addresses directly to the FBI’s Cyber Division and local law enforcement for criminal prosecution to the fullest extent of the law.

24. Client Financial Sufficiency and Hardware, Device, or Power Interruptions:
The client retains complete, independent control over their personal financial institutions and digital hardware endpoints.

  • Payment Verification and Bank Sufficiency: The client is solely and absolutely responsible for ensuring there is sufficient money in their own bank accounts, credit lines, or debit cards at the time of a transaction. If a client’s payment to my business does not go through, fails to clear, is not verified by our Stripe gateway, or results in a non-sufficient funds (NSF) overdraft flag from their bank, Keystone Immigration Clerical Services LLC will immediately halt all document processing. The client assumes full liability for any resulting processing breaks or missed agency deadlines.
  • Client Device and Connection Responsibility: The smartphone, tablet, computer, or any other device of any kind that clients use to view and complete the questionnaires, upload documents, and view any and all correspondence from my business is completely and entirely their own responsibility.
  • Technical and Environmental Glitches: Keystone Immigration Clerical Services LLC shall not be held legally or financially liable if a client experiences device problems, operating system issues, internet dropouts, localized power outages, cell network lag, corrupted software, or anything else that prevents them from viewing or completing their questionnaires, uploading files, or viewing and printing any and all correspondence delivered by our business. Our digital intake portal will simply save their data up to the point of interruption, and it remains the client’s sole duty to secure a functional device and internet link to finish their submission.

25. Accidental Duplicate Billing and Transaction Correction Protocol:
Keystone Immigration Clerical Services LLC utilizes the secure, enterprise-grade Stripe gateway architecture to process all credit card transactions.

  • Duplicate Charge Resolutions: In the rare event of a system latency error or localized payment drop where a client is accidentally charged more than once for the exact same service package, our firm maintains a proactive correction policy.
  • Notification Window: The client must immediately notify our office at info@keystoneclerical.com with their official Stripe transaction receipt ID numbers. Upon internal verification from our master Stripe ledger account, Keystone Immigration Clerical Services LLC will instantly process a direct refund for the duplicate transaction amount back to the client’s original payment method within a commercially reasonable timeframe.
  • Chargeback Restrictions: An accidental billing duplicate does not void, cancel, or refund the primary authorized service fee transaction, and the client explicitly agrees not to open a blanket chargeback dispute with their bank while a duplicate correction is being executed.

26. Geographic Limitations, International Jurisdictions, and Out-of-State Client Policies:
Keystone Immigration Clerical Services LLC is a legally registered corporate entity established within the Commonwealth of Pennsylvania.

  • Out-of-State Clients (Within the U.S.): Because our administrative document services are strictly limited to formatting federal United States government forms (such as USCIS petitions), we can securely accept and service clients located in any other state or territory outside of Pennsylvania. However, regardless of the client’s physical location, all service contracts are executed under, governed by, and construed in accordance with the laws of the Commonwealth of Pennsylvania, without regard to conflict of law principles. Any legal disputes or clerical contract claims must be filed exclusively in the courts of Delaware County, Pennsylvania.
  • International Clients (Outside the U.S.): Our secure digital portal is fully optimized to accept filings from international clients located outside the United States who are navigating consular visa tracking pathways. International clients assume absolute responsibility for ensuring their digital hardware and local internet networks comply with our secure encrypted portal system configuration. All international transaction fees, foreign currency conversion fees, or international bank transfer surcharges levied by the client’s local financial institution are the sole financial responsibility of the client.

27. Sales Tax Exemption & Jurisdictional Tax Policy:
All pricing structures and flat-fee rates published by Keystone Immigration Clerical Services LLC represent strictly professional administrative services, data-mapping transcription, and clerical document formatting.

  • Universal Sales Tax Exemption: In accordance with the tax codes of the Commonwealth of Pennsylvania, professional clerical and document preparation services are classified as non-taxable transactions. Therefore, sales tax is not included, nor will it ever be added or collected at checkout.
  • Out-of-State and International Protection: This tax-exempt status applies universally to all clients served by our firm, including clients residing in other U.S. states outside of Pennsylvania, as well as international clients residing outside the United States. No state, federal, or foreign sales tax will ever be levied by our firm.
  • The Final Flat Price: The flat-fee rate displayed on the client’s selected service card represents the absolute and complete total cost of the administrative service package. Keystone Immigration Clerical Services LLC is not responsible for, nor will it collect or reimburse, any personal foreign currency conversion surcharges, international bank processing fees, or localized wire transfer costs levied independently by the client’s financial institution.
